Administration Assistant (Approximately 12 hours per week)
Closing date 14th October 2025

ROLE 

The Trust and linked companies including the Club have increased turnover and grown in membership over the last few years and has the potential for further expansion. 

The primary duties will include providing effective administrative support to the club and other linked companies.  You will be supporting the team with financial administration, including assisting with invoices reconciliation, recording of payments and the administration of the club merchandise offer. Also supporting the team with booking and administration of the membership database.

 

The successful applicant will need to be prepared to work with and be a part of a small team and be able to respond to inquiries and bookings.

 

We are looking to recruit a person to primarily support Manvers Waterfront Boat Club and then other linked companies. 

 

Putting the needs of club members at the heart of all we do is our main priority and always will be. Your role is to help support and deliver the club’s mission. 

 

Our mission - To encourage participation and help members, coaches and leaders develop across all sections.

 

We will achieve our mission by:

  • Promoting the club.

  • Providing clear, accurate information about the Club and our programme.

  • Being a friendly, inclusive, supportive club, supporting people of all abilities (including additional support for committee members, coaches, volunteers and high-performance athletes, younger members and families).

  • Providing clean, well-maintained facilities and a supply of loan equipment along with fair, shared facilities and access to the lake across all sections.

  • Providing safe, exciting, accessible programmes and activities

 

DUTIES 

Duties will include tasks to support the above and will include: 

  • Administration type duties including assisting with updating club finance records and DBS records.

  • Updating the club database.

  • Dealing with email enquiries from members and the general public.

 

OTHER DUTIES

  • Providing support for the Club staff and volunteers.

  • Supporting the café staff during busy times.

 

To work as a member of the team, undertaking any additional duties appropriate to the grade of the post that may be required in addition to those already stipulated. 

 

Person Specification

ESSENTIAL 

  • A proactive 'can-do' approach, with excellent organisational skills and the ability to multi-task and meet conflicting priorities, along with a commitment to working flexibly to meet the needs of the business. 

  • Have an approachable and professional manner, with good communication and interpersonal skills, along with the ability to use tact and diplomacy when dealing with members and customers. 

  • Be numerate and literate. 

  • Experience of working safely and advising others to operate within health and safety guidelines.  

  • Ability to work under own initiative and to prioritise and manage varied tasks. 

  • Good organisational skills and administration ability including computer literacy (email, word, excel etc). 

  • Flexibility to be able to work outside core hours occasionally to support meetings and other activities as required. 

  • You will be efficient it the use of I.T. and social media. particularly MS Outlook, Word, Excel, Teams and have an understanding of databases. 

 

DESIRABLE 

  • Experience of working in a sports/leisure environment across a range of different sports. 

  • Cash handling skills.

  • Knowledge/experience of safeguarding.   

  • Experience of using Webcollect – our members database or similar. 

  

The role is temporary for 6 months.

 

Due to the nature of the role the post holder will be required to undertake an enhanced DBS check.
